JOB RESPONSIBILITIES:
We are seeking an organized, detail-oriented, and highly motivated Executive Assistant who also has experience as a Paralegal. This multi-faceted role involves managing daily office operations, providing paralegal support to attorneys, and assisting executive-level staff with various administrative tasks. The ideal candidate must have excellent communication and organizational skills, a strong understanding of legal procedures, and the ability to manage multiple tasks in a fast-paced law office environment.
JOB RESPONSIBILITIES:
- Assist in managing daily law firm operations, ensuring the office functions efficiently.
- Handle office correspondence, scheduling, and organization of internal and external meetings.
- Manage calendar, appointments, and meetings for senior Family Assistance staff and attorneys.
- Ensure compliance with office policies and procedures, including health and safety regulations.
- Assist attorneys with legal research, drafting legal documents, and preparing case files.
- Manage case files, ensuring all documentation is organized and easily accessible.
- Prepare and file legal documents including, but not limited to OCA Retainer/Closing Statements.
- Communicate with clients and third parties, updating them on case status as directed by attorneys.
- Drafting/Filing Disengagement letters
- Provide executive-level administrative support to senior Family Assistance staff, including managing calendars and scheduling meetings.
- Prepare correspondence, reports, and presentations as required.
- Handle confidential and sensitive information with discretion and professionalism.
- 5+ years of law firm experience.
- Must be able to work in the office Monday through Thursday with Friday being an optional remote day.
- Excellent organizational and time-management skills
- Outstanding communication and people skills
- Experience with Salesforce, Outlook, and Microsoft Office
- Familiarity with court rules and filing procedures.
- Ability to adapt to evolving legal technology and office tools.
