Enrollment Coordinator
PURPOSE:
As an Enrollment Coordinator at Barasch & McGarry, you will play a crucial role in onboarding new clients and processing their World Trade Center Health Program (WTCHP) applications as a key step of the VCF (Victim Compensation Fund) claim process. You will maintain consistent communication with clients to ensure all necessary paperwork is received, reviewed, and processed. You will ensure successful and timely WTCHP enrollment by guiding clients through the application process, maintaining accurate records, and collaborating with various departments. This role involves extensive client interaction, meticulous documentation, and coordination with various departments to achieve high levels of client satisfaction and success.
JOB RESPONSIBILITIES:
- Serve as the primary point of contact for clients, utilizing phone, email, and text to answer questions and provide updates.
- Responsible for account ownership and communication of 250-500+ clients, making and receiving 35+ calls a day, including email and text messages
- Maintain an understanding of requirements and processes for the purpose of successful WTCHP Enrollment and VCF Claim
- Send, obtain, review, and ensure the accuracy of client VCF and WTCHP documentation
- Write explanatory cover letters to supplement WTCHP Applications
- Submit applications with exceptional attention to detail and proofreading to ensure accuracy
- Guide clients through the WTCHP application process, acting as their primary point of contact
- Understand basic medical record requirements for WTCHP Certification purposes
- Perform medical records retrieval functions and store records securely in our internal database, all while maintaining HIPAA compliance standards
- Set follow-ups with clients to assist with VCF and WTCHP-related functions
- Maintain and update client account data within Salesforce, SharePoint, and other digital systems
- Create, extract, file, and ensure the accuracy of client documentation within digital systems, ensuring compliance with industry guidelines
- Refresh and review Salesforce dashboard reports daily to monitor personal workload and complete assigned tasks in a timely manner
- Liaise, collaborate, and participate in special projects with other departments and under the direction of management
- Additional duties and projects as assigned by management
JOB REQUIREMENTS:
- Ability to work Monday through Thursday in our Manhattan office; Friday is an optional remote day
- Professional phone, email, and text message communicator
- Outstanding formal writing skills
- Ability to handle high volumes of communication and maintain client relationships.
- Knowledge of legal rules and guidelines related to the VCF and WTCHP
- Familiarity with MS Office, Salesforce, and various business software
- Ability to strategize, adapt to policy changes, and solve problems effectively
- Thorough understanding of documentation as they relate to VCF and WTCHP processes
- General knowledge of industry’s legal rules and guidelines related to the VCF and WTCHP
- Working knowledge of data analysis, data processing, and data reporting
- Familiarity with Outlook, MS Office, Adobe, SharePoint, and Salesforce
- Ability to multitask and meet deadlines in a timely manner
SALARY:
$50,000 - $60,000
